Automotive Maintenance Administrator

Automotive Maintenance Administrator needed in Auckland (hybrid). A well-established automotive and fleet services business wants someone to handle the paperwork and systems behind vehicle servicing, repairs and maintenance.

Who should apply: people with a background in admin, data entry, customer service or the motor trade who can prove they are accurate, speak with confidence and treat important information with care.

You will be part of a team that works together to keep maintenance processes in order, so that every transaction, invoice, record and service request is dealt with properly and on time. Be ready to back your experience with evidence, and walk away from anyone who asks you to pay for a job offer.

Key Responsibilities

  • Go through invoices line by line and dig into any discrepancies or exceptions
  • Reconcile transactions on maintenance jobs and chase items that remain unresolved
  • Organise the admin work for vehicle servicing, repairs, maintenance and tyre replacement
  • Enter maintenance transactions without errors and update internal systems
  • Keep an eye on workflow queues so no request falls outside the required service timeframes
  • Make sure vehicle maintenance records and their supporting documents are correct
  • Deal with workshops, suppliers, customers and internal stakeholders, and phone service providers to chase maintenance requests and outstanding information
  • Answer questions about maintenance and help get problems fixed
  • Back up the Maintenance Controllers with their daily admin tasks
  • Handle many requests at once without losing accuracy or attention to detail
  • Play your part in efficient customer service and smooth maintenance operations

Requirements & Eligibility

  • Must satisfy applicable Australian employment and sponsorship requirements
  • Demonstrated work history in administration, data entry or a comparable position
  • Evidence you can provide of relevant jobs held and professional responsibilities
  • Strong attention to detail, with accuracy when dealing with transactions and records
  • Confident speaking skills and a professional phone manner, plus the ability to deal effectively with customers, suppliers and internal stakeholders
  • Strong organisational skills and the ability to balance competing priorities
  • Ability to hit deadlines when the workplace is busy
  • Good computer skills and the ability to pick up new systems
  • Reliable, positive and collaborative as a team member
  • Automotive industry experience or genuine automotive knowledge is advantageous
  • Previous experience as a Service Advisor, Service Administrator or similar is desirable
  • Relevant overseas experience will be considered where it can be appropriately verified
